Teams Premium:
Who actually needs an additional licence?
Not everyone attending a Teams meeting needs Teams Premium. What matters is the feature being used, who organised the meeting, and which licences people already have.
The 30-second version
Teams Premium extends Teams—it does not replace it.
Teams Premium is an additional licence for specific meeting, protection, AI, and telephony features. Sometimes the organiser's licence is sufficient. Personal features, however, require the individual user to have an appropriate entitlement.

Licensing prerequisites
Which licence must already be in place?
Before buying Teams Premium, you need a qualifying Office 365 or Microsoft 365 subscription and a valid entitlement to use Microsoft Teams.
Office 365 or Microsoft 365 plus Teams
Teams Premium is assigned to an individual user in addition to a qualifying base licence. Whether Teams is already included or must be purchased separately depends on the specific plan.
E5 does not generally replace Teams Premium
Even Microsoft 365 E5 does not automatically include every Teams Premium capability. Conversely, another licence already assigned to the user may cover individual features.
Directly or through a Microsoft partner
Microsoft lists Enterprise Agreement, Enterprise Agreement Subscription, CSP, direct purchasing, and Microsoft Customer Agreement among the available channels. The actual agreement, market, and available products determine eligibility.
A tenant is an organisation's shared Microsoft 365 environment. Managing certain Premium features requires at least one active Teams Premium licence in that environment. This does not automatically give every user the right to use Premium features.
Who needs the licence?
Organiser, user, or administrator: The distinction matters.
Microsoft does not decide solely by a feature's name. It also matters who activates it and who receives its benefit.
One person arranges the meeting
For organiser-based capabilities, the appropriately licensed meeting organiser is sufficient. Other attendees can experience that capability during the meeting without automatically requiring their own Teams Premium licences.
A user accesses their own additional capability
Personal meeting summaries, individual timeline markers, and similar capabilities apply to the person using them. That person needs the appropriate entitlement.
IT uses advanced administrative capabilities
Some features are intended for administrators. They require appropriate administrative permissions and the necessary Premium licence. Certain organisation-wide analytics have additional licensing requirements.

An option being visible inside a tenant does not prove that everyone is correctly licensed. Organiser features, personal features, and explicitly tenant-wide requirements must be assessed separately.
Important exception
When must every user actually be licensed?
Licensing every employee for Teams Premium is not the default rule. However, Microsoft explicitly requires it for certain features.
Advanced Collaboration Analytics
For certain advanced analytics involving external collaboration, inactive teams, or external domains, Microsoft requires Teams Premium for every user in the tenant. Licensing only the administrator is insufficient.
Not every central setting requires tenant-wide licences
A centrally configured watermark does not automatically mean that the entire organisation needs Teams Premium. What matters is the licensing rule for that exact feature.
Assess organisational value before total cost
If an organisation deliberately wants to use analytics across its entire environment, the licensing cost for every affected user must be included from the beginning.
An administrator being able to activate a feature does not mean the entire organisation is entitled to use it under a single licence.
Important changes since April 2026
Some former Premium features now belong to Teams Enterprise.
From 1 April 2026, Microsoft reassigned several event capabilities. Older comparisons and historical licensing charts may therefore be incorrect.
Certain event features are now included
Several capabilities previously associated with Premium events are now included with Teams Enterprise. Availability in an individual organisation may also depend on the gradual rollout.
Additional attendees may require a capacity pack
Teams Enterprise supports eligible events with up to 3,000 interactive attendees or up to 10,000 view-only attendees. Larger events of up to 100,000 people can require a separate Attendee Capacity Pack.
Older Premium purchases keep rights until their term ends
Teams Premium licences purchased before 1 April 2026 generally retain their previously included event capabilities until the existing subscription term expires. The updated conditions apply afterwards.
Not every feature is available with every base plan
Hiding attendee names is no longer available to Microsoft 365 Business and Frontline customers who purchased Teams Premium after 31 March 2026. Microsoft specifies Microsoft 365 Enterprise as the requirement.
For large events, assess the base plan, purchase date, event format, and any additional capacity pack together.
Avoid duplicate licences
When does Microsoft 365 Copilot already cover the capability?
Some AI features overlap between Teams Premium and Microsoft 365 Copilot. That does not mean the two products are generally interchangeable.
Teams Premium or an eligible Copilot licence
Microsoft lists Teams Premium or a qualifying Microsoft Copilot licence for intelligent recap. Someone already licensed for Copilot does not automatically need additional Teams Premium for that specific capability.
Microsoft specifically requires Copilot here
An audio recap requires a qualifying Copilot licence according to Microsoft. Teams Premium alone is insufficient.
Copilot does not replace every Premium feature
Watermarks, selected protection features, meeting templates, and call queues are not automatically covered in full by Copilot. Always assess the exact capability requested.
Intelligent recap requires transcription to be enabled. Recording may also need to be permitted for the complete recap experience.
Distinguish the products
Teams Premium, Teams Phone, and Teams Rooms are different products.
Similar names can lead to the wrong purchase. Each product solves a different problem.
Advanced capabilities for individual users
Enhances Teams meetings, protection, intelligent recap, and selected communication features. The licence is generally assigned to a specific user.
Telephony and calling
Provides Teams telephony capabilities. The Queues app requires Teams Phone together with Teams Premium.
Meeting rooms and room devices
This licence is intended for eligible meeting-room devices. It replaces neither Teams Premium for users nor an ordinary Teams user licence.
Additional event capacity
An Attendee Capacity Pack can increase the attendee limit for large events, depending on the offer. It is not a general Premium licence for individual users.
Additional compliance prerequisites
Certain sensitivity labels for meetings require Teams Premium together with Microsoft 365 E5, E5 Compliance, F5 Compliance, or F5 Security + Compliance.
Understand the cost
How much does Teams Premium cost?
Microsoft's public German list price is €8.70 per user per month with annual billing, excluding VAT.

Forty instead of 500 Premium licences cost €4,176 rather than €52,200 annually. This is only valid if the remaining 460 people do not use personally licensable Premium capabilities and no feature requiring all tenant users to be licensed is deployed. Contract and partner pricing may differ.
Practical examples
How to make the right decision.
Three simple questions usually help: What needs to happen? Who uses the capability? Which licence does that person already have?
Human resources organises a sensitive discussion
The organiser has Teams Premium and activates watermarking. Invited attendees do not automatically need their own Premium licences for that organiser-based protection capability.
Everyone needs translated meeting captions
When the organiser has Teams Premium or a qualifying Copilot licence, all attendees can use translated captions during the meeting. Without an appropriately licensed organiser, only individually entitled participants receive translation.
Eight people manage a telephone queue
Those eight users need Teams Premium, Teams Phone, and voice enablement to use the Queues app. Other employees without that responsibility do not automatically require both add-ons.
IT wants advanced collaboration reporting across the tenant
For the Advanced Collaboration Analytics expressly identified by Microsoft, every tenant user must be assigned Teams Premium. A single administrator licence is not sufficient.

Microsoft describes a free administrator-managed Teams Premium trial with 25 licences for 30 days. This helps validate the intended features and licensing assumptions in advance.
